- Guaranteed: Tuesday–Thursday, 8:00 AM – 4:30 PM EST
- Optional/Flexible: Mondays (8:00 AM – 4:30 PM) and Fridays (8:00 AM – 2:00 PM)
Our periodontal practice is seeking an experienced, organized, and confident Office Manager to lead daily operations and support a team of five staff members. This role requires strong leadership, excellent communication skills, and the ability to remain calm and effective in a fast‑paced, sometimes hectic environment. The ideal candidate is proactive, solutions‑oriented, and comfortable being the primary resource for staff questions, concerns, and troubleshooting.
Primary Responsibilities
- Oversee and manage the entire claims process, including submission, tracking, appeals, and follow‑up
- Manage billing and collections, ensuring accuracy and timely resolution
- Handle all incoming mail, including mail hold requests
- Supervise and support a team of five staff members, providing guidance, accountability, and coaching
- Present treatment plans to patients, including:
- Insurance benefit breakdowns
- Out‑of‑pocket estimates
- Financing options
- Assist with payroll preparation and doctor production reporting
- Resolve staff or patient conflicts professionally and constructively
- Finalize and reconcile daily deposits
- Manage insurance contracting and credentialing
- Perform eligibility and benefit verification and ensure accurate documentation
- Maintain a high level of computer proficiency and troubleshoot basic software issues
- Ensure consistent adherence to office SOPs and refining/streamlining workflows to improve efficiency and reduce bottlenecks
- Communicate clearly with patients about periodontal procedures, scheduling, and office policies
- Apply working knowledge of HIPAA and OSHA standards
Required Skills
- Strong multitasking ability with a calm, steady demeanor during busy or stressful situations
- Excellent verbal and written communication skills
- Proficiency in Microsoft Word and Microsoft Excel
- Ability to follow SOPs and contribute to process improvement
- Strong organizational skills and attention to detail
- Ability to maintain confidentiality and handle sensitive information appropriately
- Comfortable learning and navigating multiple software systems
Preferred Experience
- Experience in a periodontal or specialty dental office
- Familiarity with Dentrix practice management software
- Familiarity with CareStream Dental imaging software
- Prior experience in dental office management or team leadership
